Master Key Systems for Offices, Retail and Multi-Unit Properties

A master key system lets each person carry one key that opens exactly the doors they need and no others. Instant Locksmith TN services, rekeys and maintains existing master-keyed hardware for businesses and property managers across Middle Tennessee, working from the key schedule you keep.

  • We work from your key schedule
  • Rekeys, added doors and repairs

How a master key system works

In a standard pin-tumbler lock, one key lines the pins up at the shear line. In a master-keyed lock, extra pins called master pins create a second line-up point, so two or more different keys can each operate the same cylinder. Careful planning of those pins lets you build a hierarchy of keys.

Key levelWhat it opensTypical holder
Change keyOne lock, or one group of locks keyed alikeAn employee for their office, a tenant for their unit
Master keyAll the change-key locks in one area or departmentA department head, a floor manager, a maintenance tech for one building
Grand master keyAll the locks under several master keys, often a whole buildingThe owner, facilities manager or property manager
Great grand master keyLocks across several buildings or a campusUsed only in large multi-building systems

Most small and mid-size businesses need two or three levels. Adding levels you do not need makes the system harder to secure and harder to expand.

Who uses master key systems

Offices

Staff open their own office, managers open their department, and the office manager opens everything, including supply and records rooms.

Restaurants and retail

Shift leads open the front and back doors, while the cash office, liquor storage or stockroom stay limited to managers.

Property managers

Each tenant has their own unit key, while maintenance and management carry a master for the building or property.

What we do, and what we don't

Instant Locksmith TN does not design new master key systems in-house, and we do not keep keying records or key schedules for customers. The key schedule (the document showing which key opens which doors, and the pinning behind it) belongs with you or the company that designed your system.

What we do is the hands-on work on a system you already have: rekeying cylinders to your schedule, pinning replacement cylinders, adding a door into an existing level, cutting keys you're authorized to order, and repairing or replacing the master-keyed locks themselves.

  1. Pull out your key schedule. Have the schedule or bitting list for the doors involved ready. Without it, we can't rekey a cylinder into your system without risking keys that open doors they shouldn't.
  2. List the doors and the job. Tell us which doors, which key levels are affected, and what's needed: a rekey after a lost key, a replacement lock, an added door, or a sticking cylinder.
  3. Confirm authorization. We confirm the person ordering can authorize work on the building's locks. See how we verify authorization.
  4. Pin, install and test. Each cylinder is pinned to your schedule, installed, and tested with every key that should and should not open it.
  5. You update your records. We tell you exactly what changed so you can update your key schedule. We don't retain a copy.

Key control keeps the system working

A master key system is only as good as the tracking behind it. A few habits make a big difference:

  • Number every key and log who has it. Have people sign for keys and return them when they leave.
  • Limit top-level keys. Keep grand master keys to a very small number of people.
  • Use a restricted keyway when duplication matters. "Do Not Duplicate" stamps are not legally enforceable. A patented or restricted keyway limits who can obtain blanks and cut copies. See high-security locks and high-security key duplication.
  • Plan for lost keys. A lost change key means rekeying one door. A lost master means rekeying every door under it, which is where interchangeable cores save time.

What does a master key system cost?

Standard price: quoted before dispatch. Rekeying is $55 per cylinder; other master-key work is priced by scope: number of doors and cylinders, whether new cylinders or cores need to be ordered, and how many keys are cut. Multi-door commercial jobs are quoted per door. Online orders pay the $15–$25 service call at checkout as the deposit: $15 inside city limits, $25 outside. It is a flat fee added to the service price, and the time-of-day multipliers never apply to it.

  • Standard rate: orders placed 7 AM–8 PM
  • After hours (orders placed 8 PM–7 AM): 1.5×
  • Federal holidays (calendar date and observed date): 2×
  • Federal holiday, after hours: 3×
  • No weekend surcharge
  • Mileage: $1.25/mile beyond 5 miles from the city center

Multipliers apply to everything on the job (service, labor, parts and hardware) except the flat $15 (inside city limits) or $25 (outside city limits) service call and mileage. The after-hours rate is set by the time the order is placed. Holidays are U.S. federal holidays, billed on both the calendar date and the observed weekday.

Master Key System FAQ

Can you set up a brand-new master key system for us?

We don't design new master key systems in-house. If your locks are already part of a master key system and you have its key schedule, we can rekey, repair and replace cylinders within it. For a brand-new system, the design comes from the system's designer; we can then help maintain it.

What happens if someone loses a master key?

Every lock that master opens is exposed, so those cylinders should be rekeyed. Systems built on interchangeable cores make that faster because cores can be swapped instead of repinned in place.

Can we add doors to the system later?

Often, if your key schedule has room for another door at the right level. Bring the schedule and we'll pin the new cylinder to it. Systems with unnecessary levels or cross keying have fewer combinations left.

Who should hold the grand master key?

As few people as possible, usually the owner and one facilities or property manager. Many businesses keep one copy locked in a key cabinet rather than on anyone's key ring.

Do you keep a copy of our keying records?

No. Instant Locksmith TN does not keep keying records or key schedules for customers. You keep your schedule, and we tell you what changed after each job so you can update it. Store it as securely as a key, since it describes access to your entire building.

Can a master key system include padlocks and cabinets?

Many padlocks and some cabinet locks can be keyed into an existing system if they accept compatible cylinders and your key schedule covers them. List them when you order so we can check.
